Extra Passion Safaris Terms and Conditions for Booking & Cancellation

Extra Passion Safaris - Terms and Conditions

1. Acceptance of Terms and Conditions By booking a safari with Extra Passion Safaris, you agree to be bound by the following Terms and Conditions. These conditions govern the contractual relationship between you (the client) and Extra Passion Safaris.

2. Booking Terms

a) Making a Booking To initiate your booking, communicate your travel preferences with us. We will work together to finalize the itinerary and package that suits your needs. Once confirmed, we will issue a detailed quote. Upon acceptance, a deposit is required to secure your booking, after which you will receive a confirmation.

You will be asked to complete a Registration Form, including travel details and special requests (e.g., dietary restrictions). Only requests submitted through this form will be considered part of the contract. Extra Passion Safaris reserves the right to decline any booking at its discretion.

b) Price Guarantee Once your deposit is received, we guarantee the quoted prices, except in cases involving:

  • Estimated supplier cost increases

  • Government-regulated fee or tax changes

  • Fuel surcharges

  • Major quotation errors

  • Currency exchange fluctuations

3. Payment Terms

  • Camping Safari: 15% deposit required

  • Lodge Safari: 30% deposit required

  • Tailor-made Safaris: 10% to 70% deposit required

Final payments may be made on arrival, preferably in cash. We accept bank transfers, credit cards, and online payments (e.g., PesaPal). All payments must be made to our Tanzanian accounts.

If multiple travelers pay separately, the group leader is financially responsible for the entire amount unless otherwise agreed.

4. Payment Confirmation and Currency

All payments must be completed prior to the tour start date. Clients must email proof of payment for bank transfers. Extra Passion Safaris is not responsible for any payment processing fees.

Quotes are in USD, EUR, or TZS. We accept cash in USD, EUR, and GBP. Bank transfer details will be provided.

5. Tour Modifications

a) Company-Initiated Changes We aim to follow all itineraries as planned. However, we may adjust the itinerary due to circumstances like flight delays, weather, road closures, civil unrest, or supplier issues. Clients are responsible for any additional expenses resulting from such changes. Insurance coverage is strongly advised.

Minor modifications (e.g., lodge substitution, route changes) are allowed and do not void the booking. Changes resulting in price increases will be discussed with the client or absorbed by the company.

b) Client-Initiated Changes Clients may request changes post-booking. Amendment fees may apply. Standard cancellation terms apply if any tour elements are canceled. Additions typically incur no amendment fees.

6. Cancellation Policy

a) Client Cancellations

  • Cancellations less than 10 days before the tour: No refund (consideration given only for extraordinary, provable circumstances)

  • Cancellations 10 days or more before the tour: Refund issued (excluding lodging, subject to provider policies), less transaction fees

  • Tour exchanges are allowed, but no refund for individual canceled activities

For clients with domestic flights from Zanzibar, 50% of the flight cost will be charged in case of cancellation due to booking fees incurred.

b) Company Cancellations

If a supplier fails or is unable to deliver a service (e.g., due to regulation changes, weather), we will replace the service with an equivalent one. If no suitable replacement is available, we will notify the client and propose an alternative.

In rare cases involving terrorism, natural disasters, or political instability, we reserve the right to cancel the trip entirely. All land payments will be refunded, releasing us from further liability. Extra Passion Safaris is not responsible for costs like visas, vaccinations, or non-refundable airfare.

7. Insurance Requirements

All clients must purchase comprehensive travel and medical insurance. This must include coverage for cancellation, medical expenses, emergency evacuation, repatriation, death, loss or theft of baggage, and high-risk activities.

Extra Passion Safaris bears no legal responsibility for clients who fail to obtain adequate coverage. Activities such as mountain climbing, diving, and other sports are undertaken at the client’s own risk.

8. Tour Suitability and Conduct

We reserve the right to terminate a client’s participation without refund if their behavior endangers others, causes disruption, or is illegal. Clients must disclose any mobility or health limitations before booking and report any changes before departure.

9. Problem Resolution

During Tours Clients are advised to raise any concerns with their guide or Extra Passion Safaris as soon as possible for prompt resolution. Issues reported after the trip without giving us the opportunity to resolve them during the tour may not be entertained.

Photographic or documented evidence of problems is helpful in post-trip complaints.

10. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of the United Republic of Tanzania. Any disputes arising from this agreement will be subject to Tanzanian jurisdiction.
